🖥 Virtual Event Recording (via Zoom)

  1. Prep: Set view aspect ratio and quality in zoom settings, prior to recording.
  2. Recording: Zoom Event can be simultaneously recorded on different devices when record “on computer” is enabled on each device.
    1. Warning: If record “to Cloud” is pressed before individuals start recording “on Computer,” this will prevent individuals from being able to record on Computer
    2. Recording multiple views using multiple devices? Make sure video & audio settings on Zoom are consistent across all devices !! Crucial when trying to audio-sync videos!!
  3. View: Zoom records the exact window view of what the local device sees.
    1. Tip: use “pin” feature to override “spotlight” on individual devices. Adjust screen-sharing vs audience view to liking.
  4. CC & Transcription: Enable “Live Transcription” creates .vtt file for zoom recording. “Close Caption” button must be pressed for the Event Audience to view CC on screen. (CC will NOT be burned into Zoom recording, but comes in separate file).
  5. Back-up: Good to have multiple devices recording on different Wi-Fi (or locations) in case of electricity shortage, etc.

💿 Uploading. Transcription & Archiving.

  1. Export: Zoom recordings download automatically upon ending of Zoom event. Downloaded files include:
    1. Video: zoom recording mp4
    2. Audio Only: mp3
    3. Chat History: txt file
    4. CC transcription: .vtt file (Discrepancies found between timestamps on .vtt files and mp4 video)
  2. Uploading to Youtube: Youtube takes video transcriptions in paragraph from and auto syncs it with video timeline— this makes editing CC/transcription easier.
    1. Youtube also has an embedded automated transcription feature. Thus, you can create a temporary transcription just by uploading your video to Youtube
  3. Recommended CC Transcription Method:
    1. Use Youtube or other online CC tools to auto transcribe video. (Zoom .vtt file was a bit confusing).
    2. Have CC Transcription Support Person follow along video and transcription to fix and edit transcription. Add in speaker names if needed as well.
    3. Copy transcribed video (as a paragraph, no timestamps) and paste into Youtube, will auto sync.
    4. Note: Youtube is a great tool to find sentences in long speech / event videos. The Youtube CC / Transcription tool will make finding video timestamps and video editing easier. (Premiere also has a similar tool, but might make workflow laggy).
    5. Premiere: has an auto-transcription / CC feature - use to burn in CC into video.
      1. As Premiere’s CC feature is harder to work with & word flow seems a bit unnatural. Recommendation is to import the .srt file downloaded from the once uploaded Youtube video.
